We are currently seeking a Full Time Office Manager for fast paced top Bi-Coastal Commercial Production Company in New York City. This position is also responsible for assisting the Executive Management Team and other members of the Operations; preparation and administration of assigned reports, comparisons, projects and will perform specific administrative responsibilities, including highly confidential issues regarding employee and/or Company issues.
The manager will be the first point of contact for anyone calling or walking into the office. He or she must be extremely organized, accurate, and fast on your feet while being able to take direction, multi-task & prioritize. A great attitude, upbeat, and friendly disposition is essential.
Must be proficient in Mac, Tech Savvy – able to understand & operate current technology with computer programs such as Word, Excel, Google Docs, etc. Knowledge of Wiredrive, Photoshop, Final Cut Pro, and Quicktime is a plus, but not required.
Duties include: Running daily operational office needs such as quickly & accurately answering / handling / transferring all phone traffic, direct support to Executive Producers / Coordinator, ordering & distributing lunch, media management of Directors’ work, FTP uploads & downloads, maintaining storage / supplies and over seeing all general office needs – i.e. internet, phones, printers. Ensure that work is completed on time, meets project specifications and meets /or exceeds client expectations. Create and maintain a framework that provides best practices, documentation and training for ensuring that best practices and documentation are kept up to date and continually improved upon. Responsible for the coordination and completion of projects across various functional areas.
Production experience is encouraged. Strong interpersonal skills: Upbeat, friendly, positive attitude and professional.
Excellent time management and organizational skills. Proactive, goal-oriented individuals who take pride in what they do. Excellent written and verbal skills. Ability to prioritize and multi-task and have the flexibility and adaptability to changing workloads.
